9. Participation package

Each exhibitor will receive a participation package, which includes 5 complimentary guest passes on the guest list and exhibitor badges. Additionally, we will feature your logo on our website and publish your news on both our website and in our newsletter.

10. Confirmation

The confirmation of your fair participation includes an overview of your orders. Please review it carefully. Your booth will be provided in accordance with the details in the confirmation.

11. Stand construction

If you do not have your own booth construction, we can provide one for you. You may choose between standard or budget booth construction options.

13. Parking

Parking is free for both exhibitors and visitors. No parking permit is required during setup or throughout the event.

14. Access passes

For every 5m² of booth space, you will receive 1 access badge, with a minimum of 3 and a maximum of 15 badges.

Each exhibitor may add up to 5 guests to the guest list. Guests must be registered by January 29, 2025.

Exhibitors and visitors can use free Wi-Fi during the fair.

19. Insurance

The event organizers are not liable for any damage or theft. Please ensure you have your own insurance.

21. Noise

Exhibitors are not permitted to organize activities that cause noise or other disruptions for fellow exhibitors.

22. Suspension points

Use of ceiling and roof trusses

Hanging materials from the ceiling or roof trusses in the hall is not permitted without prior approval. Rigging/hanging points can be requested through the Duikvaker organizers.

23. Wall and floor

It is prohibited to drill into or attach anything to the floors, walls, or booth panels. The exhibition floor can support a maximum load of 400 kg per m².

24. Handing out flyers

Handing out leaflets is only permitted in or directly in front of your own stand. This is not permitted elsewhere on the exhibition floor.

25. Newsitems

Do you have news about the products you’ll be showcasing at the event? Send it to the organizers, and it will be featured on the website and social media.

26. Invoice

The participation invoice will be sent in December.

27. Waste processing

IMPORTANT! Exhibitors must ensure environmentally friendly waste disposal and the use of reusable materials where possible.

Exhibition location

Duikvaker is held at Expo Houten, Meidoornkade 24, 3992 AE Houten. Halls 1, 2, 3, and 4 have fixed carpeting (in anthracite) on the floor. Floors can bear a maximum load of 400 kg per m². Drilling, nailing, or adhering anything to the floors is not allowed. Any damage to the floors will result in the repair costs being charged to the exhibitor.

Construction and furnishing of stand space

Setup times are as follows: Thursday, January 30, 2025, from 8:00 a.m. to 6:00 p.m., and Friday, January 31, 2025, from 8:00 a.m. to 6:00 p.m. It is recommended to bring your own (hand) carts or dollies, as the organizers do not provide transportation equipment. Loading and unloading can be done at the side and rear of the building (Wilgenkade). Vehicles are not permitted inside the building. Ample free parking is available directly in front of and next to the exhibition center. The main entrance cannot be accessed with pallet jacks or rolling carts.

The Duikvaker organizers and Expo Houten are not responsible for receiving, storing, or safeguarding goods and (postal) shipments. If you plan to have materials delivered to Expo Houten, please notify the organizers in writing in advance at info@exhibitioncompany.nl. Clearly label the packaging with the event name and the contact person/exhibitor. The organizers will not sign any delivery documents, so please ensure you are present to receive your goods upon arrival.

Loading and unloading
On Thursday and Friday, you may use doors 1, 2, 3, 6, 7, and 8 for loading and unloading. On Saturday morning, February 1, 2025, only doors 2 and 3 will remain open. Please ensure your booth is ready on time.

Guidelines for stand construction and layout

The exhibition floor is arranged by The Exhibition Company with a professional look in mind. Within your booth space, you have considerable freedom to present your product or service as desired; however, a few restrictions apply.

Brightly colored promotional signs, as well as the use of clips or adhesive/construction clamps, are not permitted. Branding or distributing flyers outside your own booth space is also prohibited.

The standard construction height for a booth is 2.50 meters. For booths exceeding this height, written permission from the organizers is required. The visibility across the exhibition floor and the view of surrounding booths must not be obstructed. Any potentially hazardous elements, such as sharp or protruding parts, must be effectively shielded. Unsightly items are not permitted.

Specific rules for stand types:

  • Island stands: Bounded on four sides by paths. The design may build up to 50% from each side, with a maximum of 5 meters.
  • Headstands: Three sides are adjacent to aisles; a back wall is required. Sides must remain open.
  • Corner stands: Two sides are adjacent to aisles; a back wall and a side wall are required.
  • Current scores: One side is adjacent to an aisle; back and side walls are required.

Stand construction options

Participation in Duikvaker is available with either standard or budget booth construction. Both options include white walls, a fascia board with the company name, a 3kW/220V power outlet, and lighting.

Budget Booth Construction: Includes basic elements such as walls and a power outlet. Additional furniture or storage space can be ordered through our webshop: shop.duikvaker.nl.

Standard Booth Construction: Includes a table with four chairs, a counter with a stool, and a 1x1 meter storage area.

Access passes/badges

For every 5 m² of rented booth space, you will receive one access badge, with a minimum of three badges and a maximum of 15 badges.

These badges grant access to the exhibition on Saturday and Sunday from 8:00 a.m. to 6:00 p.m. Badges must be worn visibly. Additional badges can be ordered for €14.00 each, excluding VAT.

Badges can be requested starting December 1, 2024. You will receive an email with a link to the online form for submission.

Guest list

Each exhibitor has the opportunity to place up to 5 guests on the guest list for free. These guests must be registered by Wednesday 31 January 2025 at the latest.

Order exhibition material

Exhibition material can be ordered via the website shop.duikvaker.nl. This includes electrical connections, furniture, greenery and more.

After placing your order, you will receive a confirmation. Orders are delivered by our suppliers during the build.

Please note that certain items such as furniture and greenery are often no longer available during construction, so order in time.

Presentations

As every year, we have a continuous program with inspiring presentations at Duikvaker 2025. A few great presentations have already been recorded. Duikvaker exhibitors can also use the presentation rooms on the exhibition floor. Giving a presentation offers you the opportunity to share specific knowledge with an enthusiastic group of divers.

The presentations last about 30 minutes (but shorter is of course also possible) and can be about various subjects that are interesting for our visitors. Think of: Inspiring travel destinations, underwater photography and film techniques, innovative diving materials, training, nature under water etc.

You can choose to present yourself or send a speaker on behalf of your company. Do you want to give a presentation? Then simply register by sending us an email via info@duikvaker.nl and send us the following information:

  • Name of the speaker
  • Speaker's Biography – A brief background of the speaker
  • Title of the presentation
  • Description of the presentation – A clear description that appeals to the audience
  • Photo – This is used for promotion and will be displayed on the screen at the presentation room
  • Photo of the speaker

With this information we can promote your presentation via our website, social media and in the newsletter and ensure that visitors are well informed.

Fully equipped theatres

We will schedule your presentation on both days of the fair. The theatres are equipped with all the necessary facilities, with lighting, sound and a large screen. You can bring your own laptop, but you can also use our equipment – everything is there, so you can focus on the content.

Waste processing regulations

Container Waste

In collaboration with Expo Houten, the organization of Duikvaker 2025 strives to run the fair in an environmentally friendly way. We request all exhibitors and stand builders to contribute to preventing waste and promoting sustainability during the construction, the event itself and the dismantling. Below you will find the guidelines for waste processing and management during Duikvaker 2025.

Responsibility for Waste Management

All exhibitors and stand builders are obliged to avoid waste production as much as possible. This includes:

  • Use of environmentally friendly and reusable materials for stand construction.
  • Minimization of packaging materials and other waste streams.
  • Correct disposal of waste.

Disposal

It is permitted to take waste back and dispose of it after the set-up, during the fair and after the dismantling. If this is not possible, we offer containers.

Use of Waste Containers

Exhibitors can order containers for the disposal of their waste. The containers are available free of charge, but the costs for the contents will be charged. Please note that containers are only filled with the specified types of waste.

Mandatory Waste Separation

Correct waste separation contributes to lower processing costs and environmentally friendly handling. The following waste streams should be collected separately:

  • Paper and cardboard: €150 per m³ container
  • Residual waste: €150 per m³ container

Unreported Waste

For waste left behind after the fair and for which no container has been ordered, an increased rate of €200 per 1 m³ container applies.

Final inspection of stand space

After the dismantling period a final inspection will take place. Any remaining materials will be removed without further assessment at the exhibitor's expense.
